Responsibilities

Help steward the Lead Pastor’s time and tasks:

Set up meetings and training events (Lead Pastor should just be able to focus on teaching and building relationships instead of set-up or attendance)

Communicate with individuals on behalf of the Lead Pastor and deal with communication follow-up

Communicate and schedule with ministry teams on behalf of the Lead Pastor
-
Screen messages by filtering and responding to all forms of communication quickly while preventing irrelevant or unnecessary information from reaching the Lead Pastor

Block off uninterrupted sections of the Lead Pastor’s calendar

Review and manage the weeks ahead to gauge busyness and avoid potential conflicts

Coordinate logistics for meetings and travel for the Lead Pastor

Accurately organize and manage administrative tasks:

Demonstrate proactivity by taking initiative to address tasks without being asked
-
Support all meetings that the Lead Pastor is responsible for leading by coordinating with the Lead Pastor on agendas, note-taking, and follow-up communication and tasks

Manage Purchase Orders and filing for Lead Pastor

Manage church software (must be able to learn new software and use standard software like Microsoft, etc.)

Manage Master Calendar, Events, and Groups in the church’s software

Keep church office supplies stocked

Help with follow-up and filing from meetings (staff, deacons, elders, school, etc.)

Help manage membership data (transferring membership letters, maintaining database, etc.)

Help track guest connection and member engagement

Help with communication:
-
Answer phones and direct people to appropriate staff member

Answer questions for people that contact the office or take messages when appropriate
-
Schedule baptisms
-

Help manage some church events and assist other staff members when needed
